    What belongs on an invoice

    The dependable core is the same almost everywhere: who is billing whom, a unique sequential number, the issue date and payment deadline, itemized charges with quantities and prices, tax shown separately where it applies, the total due, and how to pay. This generator has fields for all of it, plus the ones that jurisdictions commonly add: tax and VAT registration IDs for both parties, the supply or service date, and a purchase order reference. What it will not do is claim that any single template satisfies every country: VAT rules, e-invoicing mandates and sequential numbering requirements differ, and the honest advice is to check your local tax authority once and configure your defaults accordingly.

    Get paid faster with clear terms

    Invoices with a concrete due date get paid faster than invoices without one, and shorter windows outperform long ones: Net 7 or Net 14 is normal for freelance and small-business work, and due on receipt is fine for small amounts. The presets above set the real date, and the document shows the date, not just the term. Structured payment instructions remove the second delay: bank details, a payment reference and a payment link each have their own field and print in a dedicated block. If you state late fees in the notes, confirm what your contract and local law actually allow first; enforceability varies.

    Does Download PDF give me a real PDF file?

    Yes. The button generates an actual PDF document in your browser, with an embedded font, correct A4 or Letter page size, page numbers on long invoices, document metadata, and a predictable filename like INV-0042-client-name.pdf. Print is a separate button for paper or for scripts the embedded font does not cover. No print dialog is involved in downloading.

    Why will the tool not export my invoice yet?

    The checklist above the download button lists exactly what is missing. An invoice needs your business name, the client name, a number, valid dates and at least one complete line item before it can be a document worth sending; a due date before the issue date needs an explicit backdate confirmation, and a zero-value total needs an explicit zero-value confirmation. Click any checklist line to jump to the field. Warnings, like a missing client email, never block export.

    Is an invoice from this generator legally complete?

    This tool creates a general invoice template. Required fields genuinely vary by country, tax status, transaction and customer type: VAT registration numbers, supply dates, reverse-charge wording and sequential numbering rules are examples of jurisdiction-specific requirements. Fields for tax IDs and supply date are provided, but check your local tax authority for what your situation requires. Some business transactions increasingly require structured e-invoices, which a visual PDF is not.

    How does the invoice number work?

    The tool suggests the next number by incrementing the last one used on this device, preserving your prefix and padding. That is a convenience, not a guarantee of uniqueness: your accounting records are the source of truth, especially across devices or browsers. Keep numbers sequential and never reuse one.

    How is the money math rounded?

    All amounts are computed in whole minor units of your currency: cents for most, none for JPY, three decimals for KWD. Each line total is rounded half-up first; the subtotal is the sum of rounded lines; percentage discount and tax are then rounded half-up at invoice level on the post-discount base. No floating-point drift can reach a displayed amount, and the same math produces the preview and the PDF.

    What does "Remember my business details" store, and where?

    When you opt in, your business name, address, email, tax ID, currency, tax defaults, payment details and logo are stored in this browser profile only, unencrypted, so they are prefilled next time. Client details, line items and totals are never stored. "Forget saved business data" deletes everything at once. On a shared computer, leave the box unchecked.

    Is my invoice data uploaded anywhere?

    No. The editor, the calculation, the preview and the PDF generation all run in your browser tab. Nothing you type is transmitted, and the tool works offline once the page has loaded (the PDF font downloads on first use). Your clients, prices and totals are your business, literally.
